At Root Reformer Studio, we want every client to feel welcome, comfortable, and supported. To help everyone enjoy a safe and positive class experience, we kindly ask all clients to follow our class etiquette policy set out below, alongside the wider Terms and Conditions which can be accessed on our website.

Arriving on Time

Please arrive at least 10 minutes before your class starts. This gives you time to check in, get settled, set up your reformer, and speak to your instructor if you have any injuries, pregnancy, postnatal recovery, or changes to your health.

If you arrive late, you may be refused entry for health, safety, and disruption reasons.

We understand that delays can happen and that some factors may be outside of your control. However, late entry can disrupt the flow of the class, impact other clients’ experience, and mean you miss important setup or safety instructions. For this reason, late entry may not be permitted. This policy applies regardless of the reason for lateness.

Where entry is refused due to late arrival, the booking will be treated as a no-show and no refund or credit will be provided.

Cancellations and No-Shows

We understand that plans can change, but we ask that you cancel or reschedule through our booking system with at least 24 hours’ notice. Cancellations made less than 24 hours before class, or missed classes, will be treated as late cancellations or no-shows. In these cases, the class credit may be forfeited or the full class fee charged.

In exceptional circumstances, you are welcome to contact us by email as soon as possible. However, as set out in our Terms & Conditions, we are under no obligation to offer a refund, credit, transfer or waiver for late arrivals, late cancellations or no-shows, and any decision to do so will be at our discretion.

Grip Socks

Grip socks are required for all reformer classes for both hygiene and safety. Please bring a suitable pair with you to every class. If you forget your grip socks, these may be available to purchase at the studio. Clients without suitable grip socks may not be able to take part in class, and no refund or credit will be provided.

Behaviour in Class

We ask all clients to be respectful, kind, and considerate towards instructors, staff, and fellow clients. During class, please:

● Follow your instructor’s guidance and safety instructions;

● Use the equipment only as directed and wipe down after use;

● Keep your phone silent and away during class;

● Respect the privacy and experience of others; and

● Avoid disruptive, unsafe, or inappropriate behaviour.

We reserve the right to refuse entry or ask a client to leave if their behaviour is unsafe, disruptive, abusive or impacts the experience of others.

Filming and Photography

We love seeing clients celebrate their progress and share their Pilates journey!! However, the Studio is first and foremost a safe, calm, and private space for all who attend.

To respect the privacy, comfort, religious and personal boundaries of our clients, filming and photography are not permitted during class unless Root Reformer Studio has given explicit consent. This includes videos, photos, live streams, tripods, or any content that may capture another client.

We want the Studio to feel welcoming and comfortable for all clients, including women and people of all faiths. For this reason, we ask that you are especially mindful of privacy and do not capture anyone else in the background unless they have given you clear and explicit consent.

You are welcome to take photos or videos before or after class where it is appropriate to do so, provided that you only capture yourself or those who have given you explicit consent. Where possible, we kindly request that you wait until other class members have left the Studio before filming.

Root Reformer Studio reserves the right to ask you to stop filming, or delete any media created in or around the Studio where we have concerns about client privacy, consent, or comfort.
