These Terms and Conditions set out the basis on which ANA Leisure Ltd, trading as Root Reformer Studio (“Root Reformer Studio", “we”, “us”, or & “our”), provides Pilates classes, private sessions, workshops, memberships, class packs, website access and related services.

By accessing our website, creating an account, purchasing a class pack or membership, booking a class, attending the Studio or otherwise using our services, you agree to be bound by these Terms and Conditions, together with our Privacy Policy, and Liability Waiver.

For the avoidance of doubt, if you do not agree to these Terms and Conditions, you must not book, attend, or participate in any Root Reformer Studio class or service.

It is strongly recommended the Terms and Conditions are read in full prior to signing on to a Root Reformer class or related service.

Cancellations - A minimum of 24 hours; notice is required to cancel or reschedule through the Booking System. Late cancellations and no-shows are charged in full or deducted from your pack or membership.

Late arrivals - Please arrive at least 10 minutes before class. Late entry may be refused for safety and disruption reasons, with no refund or credit.

Health - You must tell us and your instructor about injuries, medical conditions, pregnancy, post-natal recovery, recent surgery, pain or any relevant change in health before class.

Grip socks - Grip socks must be worn or purchased for all reformer classes for hygiene and safety. If you do not wear suitable grip socks, you may be refused participation without refund or credit

Filming - Filming, photography, tripods, and recording during class are not permitted unless we have given prior consent. No other person may be recorded without explicit consent.

Waiver - All Clients must accept the applicable Liability Waiver before participating.

1. Definitions

In these Terms and Conditions:

Client means any person who creates an account, books, purchases, attends or participates in any class, private session, workshop or other service provided by Root Reformer Studio.

Studio means the Root Reformer Studio premises and any facilities, equipment or services made available by us.

Equipment means all Pilates and fitness equipment used at the Studio, including but not limited to reformer machines, mats, resistance bands, balls and other apparatus.

Booking System means our official online booking platform, website, app or such other booking system as we may use from time to time.

2. Bookings, Purchases and Payment

All classes, private sessions and other services must be booked in advance through our official Booking System. Payment is required at the time of booking unless otherwise agreed by Root Reformer Studio in writing.

Class packs, memberships, introductory offers and single sessions are personal to the Client and must not be transferred, shared, assigned or resold unless we expressly agree otherwise.

All expiry dates, membership terms and package restrictions will be displayed on the Booking System or otherwise notified to you at the time of purchase. It is your responsibility to ensure that all classes are booked and attended before the relevant expiry date.

Introductory offers are available once per new Client only and are non-transferable. Unless expressly stated otherwise, all purchases are non-refundable except where required by law or where Root Reformer Studio cancels a class, and no suitable alternative is available.

We reserve the right to amend prices, class schedules, instructors, membership options and package terms at any time. Where reasonable, we will provide notice of material changes.

3. Cancellation and No-Show Policy

Root Reformer Studio operates a strict 24-hour cancellation policy. A minimum of 24 hours; notice is required to cancel or reschedule any class or session. Cancellations must be made through the Booking System. Emails, voicemails, social media messages, text messages or other communications outside the Booking System will not be treated as valid cancellations.

If you cancel less than 24 hours before the scheduled start time, this will be treated as a late cancellation. In such circumstances, the class credit will be forfeited, or the full class fee will be charged, as applicable.

If you do not attend a booked class or session, this will be treated as a no-show. No-shows will be charged in full or deducted from your class pack, membership or account.

Root Reformer Studio may, at its sole discretion, waive a late cancellation or no-show charge in exceptional circumstances. Any request for a waiver must be made promptly and does not guarantee that a waiver will be granted.

4. Waitlist

Clients may add themselves to a waitlist where a class is full. By joining a waitlist, you accept that you may be added to the class if a space becomes available.

It is your responsibility to remove yourself from the waitlist if you are no longer able to attend. If you are added to a class from the waitlist and do not cancel within the applicable cancellation period, you will be charged or your class credit will be forfeited in accordance with the cancellation policy.

Please do not add yourself to multiple waitlists where you are not able to attend each class if a place becomes available.

5. Late Arrivals

Please arrive at least 10 minutes before the scheduled start time of your class. This allows time for check-in, setup, and any required safety briefing.

If you arrive late, you may be refused entry for health, safety and disruption reasons. Where entry is refused due to late arrival, the booking will be treated as a no-show and no refund or credit will be provided.

This policy applies regardless of the reason for lateness.

6. Studio Cancellations and Instructor Changes

Root Reformer Studio reserves the right to change instructors, class times, class formats or cancel classes at any time.

Where we cancel a class, your class credit will be returned to your account, or you may be offered an alternative class or refund where applicable. We will make reasonable efforts to notify Clients of cancellations or changes as soon as practicable.

Root Reformer Studio will not be responsible for any travel, childcare, loss of earnings or other costs incurred as a result of a class change or cancellation.

7. Health, Fitness and Medical Responsibility

By booking or attending a class, you confirm that you are physically able to participate and that you have considered your own health, fitness level and suitability for Pilates.

You must inform Root Reformer Studio and the instructor before attending any class if you have any injury, medical condition, pregnancy, postnatal status, recent surgery, illness, pain, limitation or any change in your health that may affect your ability to participate safely.

Root Reformer Studio instructors are not medical professionals. Nothing said by an instructor, displayed on our website or provided through our services should be treated as medical advice.

If you are unsure whether Pilates is suitable for you, you must obtain medical advice before booking or attending. If you feel pain, dizziness, discomfort, or unwell during a class, you must stop immediately and inform the instructor.

8. Pregnancy and Postnatal Clients

Pregnant and postnatal Clients must inform Root Reformer Studio before booking or attending any class.

Participation during pregnancy or postnatal recovery is subject to instructor approval and may be restricted to designated prenatal, postnatal or private sessions where appropriate. Root Reformer Studio reserves the right to refuse participation in any class where we consider it unsafe or unsuitable.

Postnatal Clients should not attend until medically safe to do so. As a general rule, Clients should wait at least 6 weeks following a vaginal birth and 12 weeks following a C-section, unless cleared earlier by an appropriate medical professional.

Participation during pregnancy or postnatal recovery is at your own risk.

9. Assumption of Risk and Liability Waiver

Pilates and reformer Pilates involve physical movement and the use of specialist equipment. As with all physical activity, participation carries inherent risks, including but not limited to strain, injury, aggravation of existing conditions, slips, trips, falls, equipment-related injury or other accidents.

By attending the Studio or participating in any class, you acknowledge and accept these risks. You agree to follow all instructor guidance, safety instructions, signage and equipment instructions at all times.

To the fullest extent permitted by law, Root Reformer Studio, its directors, employees, contractors and instructors will not be liable for any injury, loss, damage or expense arising from your participation in classes, use of the Studio, use of equipment or failure to follow instructions.

Nothing in these Terms and Conditions limits or excludes liability for death or personal injury caused by negligence, fraud or any other liability that cannot lawfully be excluded.

These Terms and Conditions should be read together with our Liability Waiver, which forms part of the agreement between you and Root Reformer Studio.

10. Studio Rules and Etiquette

Clients must always behave respectfully and responsibly. We reserve the right to refuse entry or remove any Client whose behaviour is disruptive, unsafe, inappropriate, abusive or damaging to the Studio, our team, instructors or other Clients.

Clients must:

a) wear appropriate active wear and grip socks for all reformer classes;

b) use equipment safely and only as instructed;

c) wipe down equipment after use;

d) keep mobile phones silent and away during class;

e) respect the privacy and experience of other Clients; and

f) follow all reasonable instructions given by Root Reformer Studio staff and instructors.

Grip socks are required for hygiene and safety. If you do not wear suitable grip socks, you may be refused participation without refund or credit. Grip socks may be available to purchase at the Studio.

Personal belongings are brought into the Studio at your own risk. Root Reformer Studio is not responsible for loss, theft, or damage to personal items.

11. Filming, Photography and Marketing

Filming, photography, tripods, and recording during class are not permitted unless Root Reformer Studio has given prior consent.

Clients may take photographs or videos before or after class only where permission has been granted, and no other Client, instructor or staff member appears in the content without their express consent.

You must not record, share or publish any image, video, audio or identifying information relating to another Client, instructor or staff member without explicit consent.

Root Reformer Studio may occasionally create photography or video content for marketing purposes. We will seek consent where required. If you do not wish to appear in any promotional content, please inform us in writing.

12. Website Use and Intellectual Property

You may use our website for lawful personal use only. You must not misuse the website, introduce viruses or harmful material, attempt unauthorised access, copy website content or use the website in any way that breaches applicable law.

All website content, branding, text, images, videos, designs, logos and materials are owned by or licensed

to Root Reformer Studio. They must not be copied, reproduced, distributed, adapted, or used for commercial purposes without our prior written consent.

We make reasonable efforts to keep website content accurate and up to date. However, class schedules, prices, instructors, availability and services may change, and we do not guarantee uninterrupted or error-free access to the website or Booking System.

13. Third-Party Booking Platforms

Bookings, payments, account management and communications may be processed through third-party platforms. Use of those platforms may be subject to their own terms, conditions and privacy policies.

Root Reformer Studio is not responsible for the availability, operation, security or performance of any third-party platform, except where required by law.

14. Data Protection and Privacy

Root Reformer Studio will process personal data in accordance with applicable data protection laws, including the UK GDPR and Data Protection Act 2018, and in accordance with our Privacy Policy and Cookie Policy.

By using our website, Booking System or services, you acknowledge that personal information, booking information and relevant health information may be collected and processed for administrative, safety, operational and communication purposes.

You must ensure that any information you provide to us is accurate and kept up to date.

15. Refusal of Entry and Suspension

Root Reformer Studio reserves the right to refuse entry, suspend access, cancel bookings or terminate participation where a Client:

a) breaches these Terms and Conditions;

b) fails to follow health and safety instructions;

c) provides inaccurate or incomplete health information;

d) behaves in a disruptive, abusive, unsafe or inappropriate manner;

e) damages Studio property or equipment; or

f) acts in a way that may cause damage, perceived or actual, to the Root Reformer Studio brand, staff,

instructors or Clients.

Where access is refused or suspended due to Client conduct or breach of these Terms and Conditions, no refund or credit will be provided.

16. Force Majeure

Root Reformer Studio will not be liable for any failure or delay in providing services caused by events outside our reasonable control, including but not limited to illness, instructor unavailability, building issues, power failure, fire, flood, severe weather, government restrictions, public health events or other circumstances beyond our control.

In such circumstances, we may cancel, reschedule, or modify classes or services as reasonably necessary.

17. Amendments

We may update these Terms and Conditions from time to time. The latest version will be made available on our website.

Continued use of our website, Booking System, Studio or services after any update will constitute acceptance of the updated Terms and Conditions.

18. Governing Law

These Terms and Conditions are governed by the laws of England and Wales.

Any dispute arising from or in connection with these Terms and Conditions shall be subject to the courts of England and Wales, unless otherwise required by law.

19. Client Acknowledgement

By booking classes, purchasing services, attending a session or using the Studio, you confirm that you have read, understood and agree to these Terms and Conditions, the Privacy Policy, Cookie Policy and Liability Waiver.

You agree to inform Root Reformer Studio promptly of any change to your health, injury status, pregnancy, postnatal recovery or any other matter that may affect your ability to participate safely.

You accept responsibility for your own health, safety and wellbeing during classes and while using the Studio, subject always to any liability that cannot be excluded by law.
